Annual Meeting Minutes Meeting Conducted by Email

Please note that this meeting was conducted by email due to the ongoing Co-vid 19 pandemic. All members were emailed a package of annual meeting materials on Friday, May 22, 2020 and were asked to respond to Pat Lenz by email by midnight on Tuesday, June 2, 2020. Results of the annual meeting were discussed by the board at the June 3, 2020 board meetings. This was the date of our originally scheduled annual meeting. The annual meeting materials that were emailed to all members are attached to these minutes. The annual report can be found on the club’s website.
All members were asked to respond to three specific issues. These were: 1) the nomination of Barbara Moore as vice-president; 2) community outreach expenditures; and 3) the 2020 - 2021 budget. Thirty-one responses were received. The feedback was extremely positive, with many members commenting that the board was doing a good job under difficult circumstances.
Results
1)  Barbara Moore was unanimously confirmed as vice-president.
2)  The community outreach expenditures that were proposed by the board were approved. The expenditures proposed by the board were: $250 to the Conservation Law Foundation; $200 to Southeast Land Trust; and $200 to Crossroads House, for a total of $650. One member suggested that the $250 slated for the Conservation Law Foundation be reduced to $200 and Crossroads House increase to $250. This issue was discussed with the board on June 3, 2020, but it was ultimately decided to keep the amounts at the suggested levels, since the vast majority of members approved the original amounts.
3)  All members were asked if they had any comments or concerns about the budget approved by the board. One member questioned the $4000 figure listed as “plant sale” in the proposed 2020 - 2021 budget. It was explained that this figure represented as estimate of what we expect to make at the 2021 plant sale. Another member suggested that the $800 new member project be moved to a year in the future. This member also suggested that the program budget
be reduced from $2800. Once again, these comments were discussed with the board on June 3, where it was decided to keep the budget as is. The board felt that programs were an important part of our club and worth the expenditure. The board also felt it was important to keep new members actively involved in the club through a new member project. Board members were reminded that we currently have over $24,000 in the bank.

Great Island Garden Club General Meeting Minutes
February 4, 2020
Wentworth Greenhouses

Present: 11 members
President Pat Lenz called the meeting to order at 9:30 AM and thanked everyone for attending today’s bonsai workshop.
Beth Barnhorst moved to accept the January 7, 2020 general meeting minutes. Claudia Wilbur seconded the motion. The minutes were approved.
Claudia Wilbur moved to accept the treasurer’s report dated January 26, 2020. Susan Gough seconded the motion. The treasurer’s report was approved.
Committee Reports
Civic - Biggie George reported that the holiday decorations are now down.
Hospitality - Pat Lenz announced that the spring luncheon, which will take place at the Wentworth by the Sea Country Club on May 5th will feature a garden party theme. Members will be asked to wear hats decorated with flowers. We will also have a modified yankee swap featuring garden items.
Membership - Pat Lenz announced that five new members have joined so far this year, bringing our total membership number to fifty-six.
Website - anyone who has not logged onto the website should contact either Wendy Tauber or Pat Wilson for assistance.
Daffodils 400 - the next meeting of the daffodil committee will be Friday, February 21 at 10:00 AM at the Yellow House. The purpose of the meeting will be to discuss a strategy for taking daffodil orders at the plant sale.
Programs - Claudia Wilbur reminded everyone that our next program is March 3 at 7:00 PM in the Macomber Room. This program, which is open to the public, features Emma Erler of the UNH Extension Service. Emma’s topic is “Knowing and Growing Hydrangeas”.
Plant Sale - Pat Lenz reported that this year’s plant sale is May 16th. She encouraged members to begin thinking about sources of plants, even including sources outside of the immediate area of New Castle, to add some variety to our plant sale inventory. Beth Barnhorst suggested that we check out the UNH greenhouse open house as a possible source for plants this year.
The business portion of the meeting concluded at 9:45 AM.

January 7, 2020
General Meeting Minutes Macomber Room

Present: 28 members, 6 guests
Pat Lenz called the meeting to order at 9:35 A.M. Pat announced that Andrea Williamson has agreed to Chair Publicity and Nancy Borden has agreed to help. Glicka Kaplan has agreed to Chair the Plant Sale. The Recording Secretary position is still open and Pat requested that anyone interested speak with her.
Claudia Wilbur moved to approve the December 3, 2019 minutes. Pauline Elkin seconded the motion and the Minutes were approved. Jane Page moved to approve the December 31, 2019 Treasurer’s Report. Nancy Jackson seconded the motion and the Treasurer’s Report was approved.

Committee Reports:
Membership: 
Mary Pat Gibson welcomed Brenda Reynolds as our newest member. Guests included: Elisa and Mark Lacasse, Mike Geanoulis, Brenda Scolaro, and Karina Drumheller.
Civic: Biggie George reported that her committee decorated the window boxes for Christmas. Lights were hung around the Recreation Building. There had stopped working but now they are fixed although they now stay on all day.
Hospitality: Astrid Weeder thanked Wendy Tauber and Pat Wilson for the beautiful table and delicious food made with herbs to go along with the speaker’s topic.
Programs: Claudia Wilbur announced that the February meeting will be a workshop on Bonsai plants held at Wentworth Greenhouses and Garden Center. Please arrive by 9:30. Bring your own coffee because no refreshments will be served. Guests are welcome. The bus trip to the MFA for Art in Bloom was cancelled due to logistical difficulties. There will be a regular general meeting in April.

ffodil Committee - Pat Lenz announced that she will call a meeting in the next month or so to discuss the next steps for the Daffodil Committee.

Plant Sale - The date of the Plant Sale is May 16. After last year’s sale it was suggested that we stay open an extra half hour so the sale will be open from 8:30 A. M. to noon.
New Business: Wendy Tauber announced that 48 members opened the members only section of the website so she was pleased that members are using the website. If you have any trouble signing in please contact Wendy. Wendy also suggested that we purchase more up to date coffee machines for Hospitality.

Sharon Dobbins moved to adjourn the business meeting. Mary Pat Gibson seconded the motion. The meeting was adjourned at 9:45 A.M.
Claudia Wilbur introduced our speaker, Maria Noel Groves whose topic was "Backyard Medicine-Herbs to grow and Use.” Maria is a clinical herbalist and author.

General Meeting Minutes Wentworth by the Sea Country Club Holiday Luncheon

Present: 33 members and 1 guest
President Pat Lenz called the meeting to order at 12:15 PM

Pat Lenz thanked everyone for braving the snowstorm and attending the luncheon. Pat also thanked Bonnie Brown for organizing the luncheon and for providing the centerpieces. The members were also thanked for their donations to Operation Blessing. All items will be transported to Operation Blessing immediately following the luncheon.
Astrid Weeder moved to approved the October 1, 2019, and November 5, 2019, general meeting minutes. Beth Barnhorst seconded the motion. The minutes were approved.
Claudia Wilbur moved to accept the November 25, 2019 treasurer’s report. Mary Pat Gibson seconded the motion. The report was approved.
Margie Heindel introduced her guest.
Old Business
Pat Lenz reminded everyone that we are still looking for a publicity chairperson, as well as a chairperson to lead the plant sale. Publicity will be needed right after the first of the year to promote the island wide shirt sale, as well as the bulb sale and plant sale.
New Business
Judy Hajjar spoke about our January 7, 2020 general meeting. Our speaker will be Maria Noel Graves. Maria is a clinical herbalist and the author of two books. Her program is entitled “Backyard Medicine - Herbs to Grow and Use”.
The business meeting was adjourned at 12:30 PM.

General Meeting Minutes

President Pat Lenz called the meeting to order at 9:35 AM.

Since the October general meeting minutes and the latest treasurer’s report have not been posted on the website, approval of these documents is deferred to the holiday luncheon in December.
Committee Reports
Membership 
- Mary Pat Gibson welcomed our newest member, Claudia Willson.

Civic - the town hall and post office fall plantings look wonderful. The Rec Center fall clean-up is complete. The village garden clean-up will take place later this week.
Hospitality - Pat Lenz thanked our November hostesses, Andrea Wilson and Margie Heindel. Bonnie Brown announced that we are beginning to collect checks for our December 3, 2019 (11:30 AM) luncheon at the Wentworth by the Sea Country Club. The cost of the luncheon is $30 per person. Checks, made out to GIGC, can be mailed to Bonnie Brown at PO Box 903, New Castle, NH 03854. The deadline for payment is November 25.
Website - anyone who has not logged onto our website should contact Pat Wilson.
Daffodils 400 - 800 daffodil bulbs and 1000 grape hyacinth bulbs were successfully planted during two mornings in October. Many thanks to our members who volunteered for this project. Special thanks to Shaun Mathews, Jim Wilbur and Bill Lenz for their help with the difficult digging.
Programs - nothing to report.

Old Business
T-shirts and Sweatshirt Sale - Deedee Hammer announced that the GIGC t-shirt and sweatshirt sale has been extended to November 10, 2019 at midnight. The link to the shirt/sweatshirt ordering website can be found on the member landing page of the GIGC website. We would like to encourage members to purchase the “butter” yellow t- shirt, which would be a great way to help promote our daffodil project. Anyone who is having difficulty finding or using the ordering website, should contact Deedee. Deedee also displayed the graphics for the Island wide shirt project. This project will be

deferred until the spring instead of trying to start it in time for holiday gift giving this year. Since the goal of the project is to promote our 400th anniversary in 2023, there is no rush. In addition, rolling it out in the spring will allow us to promote the shirt sale during our plant sale. Having a member to handle publicity for this project is important to its success. Anyone who is interested in the publicity position, should contact Pat Lenz.

New Business
Charitable Giving at the Holiday Luncheon - the board would like to incorporate some type of charitable giving into our holiday luncheon. The thought is that we would collect items that could benefit one local charitable organization. Several ideas were discussed. By a show of hands, the membership voted to partner with Operation Blessing in Portsmouth. Pat Lenz will contact Operation Blessing for a “wish list” that will be distributed to all members. Stay tuned for more information.
Daffodil Bulb Sale - Pat Lenz asked the membership if they would be interested in undertaking a daffodil and grape hyacinth bulb sale as a fundraising project. The plan would be to take orders and payment for bulbs at our annual plant sale in May. The bulbs would be shipped to us in the fall and would require repackaging by our members. We would designate a distribution day in the fall, possibly at the Rec Center or the school, where members of the community would pick up their bulb orders. Sharon Griffin made a motion that the club undertake this project. Nancy Borden seconded the motion. The motion was approved. Pat Lenz emphasized the importance of having a member serve as a publicity chair if this project is to be successful. Anyone interested in the publicity position should contact Pat Lenz.
Sharon Griffin moved to adjourn the meeting. Jane Finn seconded the motion. The meeting was adjourned at 9:55 AM.

Beth Paulson introduced our November speaker, Bert Ford. Bert is a floral designer from Salem, NH. Bert’s program is entitled “Fall into the Holidays”.

General Meeting Minutes


Present: 22 members, 5 guests


President Pat Lenz called the meeting to order at 9:05 AM.


Wendy Tauber moved to approved the September 10, 2019 general meeting minutes. Deedee Hammer seconded the motion. The minutes were approved. 


Julie Thomas distributed the treasurer’s report dated August 31, 2019. Judy Hajjar moved to approve the report. Biggie George seconded the motion. The minutes were approved.


Committee Reports


Membership - Pat Lenz welcomed two new members, Kathy Matthews and Elizabeth Hall. Pat also introduced five guests.


Civic - Biggie George announced that the fall town planting is scheduled for October 2, 2019. Susan Gough announced that the next Rec Center clean-up day is scheduled for October 10th. Everyone is encouraged to help.


Hospitality - Astrid Weeder thanked our October hostesses, Glicka Kaplan and Jane Finn.


Daffodils 400 - The bulbs are expected to arrive soon. Preparation of the beds has begun, thanks to Bill Lenz, Jim Wilbur and Shaun Matthews. Bulb planting days are scheduled on Wednesday, October 16 and Thursday, October 17 at 9:00 AM.  Friday, October 18 is a rain date. Two planting teams will be scheduled for October 16. One team will work at the Police Station while a second team will work at the rowboat.  On October 17, everyone will work at the Rec Center/entrance to the Common. Pat Lenz passed around a sign up sheet for both days. Please bring trowels and gloves. 


New Business 
Holiday Luncheon - Pat Lenz announced that the board would like to incorporate some type of charitable giving into our holiday luncheon in December. One example would be Families First, which publishes a wish list of items they need for their clients, such as gas or grocery gift cards, diapers, and flashlights and batteries. Items would be collected at the luncheon, loaded into a car or two, and delivered to the organization. Pat asked the membership to begin thinking about organizations we should consider donating items to, and be prepared to discuss this at our November meeting.  


Bulb Sale - Pat also asked the membership to begin thinking about whether or not they would like to expand the Daffodils 400 project to include taking orders for bulbs at our plant sale in May. This will be discussed in more detail at our November meeting.


T-Shirt and Sweatshirt Sales - Deedee Hammer announced that we would like to re-open GIGC t-shirt and sweatshirt sales to our members. Deedee is working with our vendor to select colors and styles. We hope to open this up to members sometime in October. In addition, we would like to expand sales to the entire island, offering Great Island t-shirts and sweatshirts. Those interested in purchasing would be directed through our website, to the vendor’s website. We are targeting that the island-wide sales would begin in November, in time for the holidays. Shipping is not available through our vendor, so we would have to schedule a pick-up day somewhere in town, such as the school or Rec Center.

General Meeting Minutes

President Pat Lenz called the meeting to order at 9:30 AM.

Pauline Elkin moved to accept the June 4, 2019 annual meeting minutes. Claudia Wilbur seconded the motion. The motion was approved.
Julie Thomas presented the new format for the August 31, 2019, treasurer’s report. Astrid Weeder moved to approve the report and Jane Finn seconded the motion. The motion was approved.
Committee Reports
Civic - Biggie George reported that the town plantings are doing well. Pat Wilson reported that she recently completed a garden project at the fire and police station. The fire and police chiefs asked if the garden club could do something with the bed next to their front door. The fire chief wanted the fire station to look more inviting. The garden club purchased and planted hydrangeas and heuchera for the bed and also purchased a flower pot for the front entrance. Pat reported that the fire station is responsible for weeding and watering the new plantings, and that they have been doing a wonderful job so far. In addition, several garden club members recently made six flower arrangements for Family Fun Night, which was sponsored by the Town. Susan Gough reported that maintenance of the Rec Center garden has been going well. Stay tuned for a fall clean-up date for the Rec Center garden.
Hospitality - Astrid Weeder thanked our September refreshment hostesses, Jane Page and Beth Paulson.
Daffodils 400 - Pat Lenz reported that 1800 daffodil and grape hyacinth bulbs have been purchased and are expected to be delivered around the third week of September. Stay tuned for planting dates in mid-October.
Open Positions - Pat Lenz announced that we are still looking for someone to handle publicity for the club. We would like to work on increasing the promotion of our club this year and are eager to get started on these efforts. We are also looking for one or two people to take the lead on the 2020 plant sale. Anyone who is interested in either of these positions should contact Pat Lenz.
Programs - Claudia Wilbur announced that our October program will feature Liz Barbour, “Cooking with Herbs and Edible Flowers”. PLEASE NOTE: our October program will run 1.5 hours. Coffee will therefore be served beginning at 8:30 AM and

our business meeting will begin at 9:00 AM. Liz’s talk will begin at 9:30 AM. There will be no additional refreshments needed for this meeting, other than coffee and tea, since Liz will be serving food.
On-line Directory and Website - Pat Lenz thanked Pat Wilson and Wendy Tauber for all of their hard work this summer converting our member directory into an electronic format. Pat Wilson demonstrated the primary features of the website, including how to print your own membership booklet. Several members reported that they have already successfully printed their booklets. Look for “Print Member Booklet” in the member dropdown menu. Printing out the member booklet will give you contact information for all of our members, as well as a list of programs and refreshment hostesses. We are looking to expand our use of the website in the coming year. For example, we recently added the Village Garden layout in the “history” section of the website. If you have any difficulty logging onto the website, please contact either Pat Wilson or Wendy Tauber.
Ann Tarlton moved to adjourn the business meeting and Astrid Weeder seconded the motion. The business meeting was adjourned at 9:50 AM.
